The Assistant Director, Student Business Services position is an exempt, full-time administrator position which reports to the Director of Student Business Services.

The Assistant Director, Student Business Services position requires a high level of problem solving and decision making skills and a high level of customer service.  Duties are included but not limited to oversight/supervision of office daily operations and accounts receivable staff.  Monitor student payment plans and collections with attention to detail and due diligence.  Conduct regular audits of student accounts.  Resolve complex student account issues regarding payment plans, payments due, collections, registration and financial aid issues, working with parents, students and other university departments in a positive, and professional manner.  Responsible for running various accounting reports to review for compliance with university policy with attention to detail and accuracy.  Assist in all month end processing through general ledger journal entries and budget reporting.  Produce various accounting reports for management review.  Coordinate schedule for billing and posting student account activity working with various university departments.  Meet with other university departments regarding university policy review, development and planning to ensure good student service.  Prioritize and supervise computing needs for the office and IS&T and third party software applications.  Prioritize and supervise workload of office staff.  Constantly seek ways to improve services through use of technology.  Foster high morale within the office and university.  Review quality control reports and take corrective action.  Recruit, interview, hire, train and evaluate staff up to disciplinary action and termination.

This position may work some evening and weekend work hours as needed. The position performs additional duties as assigned.



The requirements listed below are representative of the knowledge, skills, and/or abilities required for the Assistant Director, Student Business Services position.

Required:  Bachelor’s degree in accounting or related field, or equivalent work experience. Proven experience managing professional staff with attention to productivity, workflow, compliance with university policy, motivation and review. Experience in providing administrative support in a professional office. Excellent, clear, and concise oral and written communication skills, problem solving and demonstrated ability to handle adverse situations. Proven experience in gathering and analyzing data, reasoning logically, drawing valid conclusions, communicating those to others and making effective recommendations to management. Good organizational and technical skills and ability to work under deadlines. Intermediate level of knowledge of Microsoft Office tools. Demonstrated ability to work independently, take initiative, and exercise discretion and judgement on matters of significance and maintain the highest level of confidentiality. Strong team player with ability to develop teamwork and good morale. Working knowledge of accounts receivable and collections and demonstrated ability to use this knowledge to solve routine, extraordinary and complex issues and problems. Ability to prioritize duties when faced with interruptions, distractions and fluctuating workloads Demonstrated ability to motivate employees to engender support for accomplishing goals and objectives. Demonstrated ability to multi-task and perform effectively in crisis situations. Self-starter with the ability to perceive tasks that need to be accomplished and take appropriate steps to achieve success by maintain the highest level of student service within limitation of the law, regulations, budget and university policy. Excellent and confident negotiation skills.


Desired:  Experience in PeopleSoft Student Financials and Campus Community. Experience working for a university. Knowledge of Chapman University Policies and Procedures. Knowledge of Perkins Loan regulations and collections.
