The Hilbert Museum Assistant is a non-exempt, full-time staff position which assists management within the Hilbert Art Collections Museum. This position works during the Hilbert Museum's operating hours of Tuesday – Saturday 8:00 am to 5:00 pm.

The Hilbert Museum Assistant provides support to visitor services and assists in coordinating communications for Chapman University’s Hilbert Museum of California Art. This staff member handles general office duties, serves as the primary visitor services attendant at the Hilbert Museum, and supports the Museum Director and Registrar as well as the Museum Advisory Board. This positon also schedules and supervises student assistants, and assists in executing policies and procedures related to the Hilbert Museum to fulfill its vision, mission and organization. The incumbent will perform other duties as assigned.



The requirements listed below are representative of the knowledge, skills, and/or abilities required for the Hilbert Museum Assistant position.

Specific Job Requirements: Bachelor degree or equivalent experience in relevant field such as art, humanities, education, communication. 1-3 years’ experience in providing administrative support and/or customer services, preferably in visual arts profession or related field. Demonstrated customer service and interpersonal skills, including the ability to foster effective relationships and work with a diverse group of individuals from within and outside the university community. Demonstrated organizational and task management skills. Ability to coordinate and work with students. Strong interest in social media and technical skills to use various platforms to promote the Hilbert Museum. Knowledge and skill to assist in the development and design of collateral and other materials.

General Job Requirements: Dependability, flexibility, and adaptability to work in a small department. Must be able to remain calm in stressful situations and help resolve customer complaints with tact and courtesy. Knowledgeable in standard computer equipment, applications, and programs, such as Microsoft Office suite, and Adobe Creative Cloud. Strong organizational skills to maintain office files, schedule, calendar, and coordinate logistics for meetings and special events. Technical skills to learn to use enterprise software systems. Ability to take initiative and complete projects with minimal direct supervision. Ability to work and communicate effectively with all levels within and outside the University. Strong verbal communication skills; a persuasive and passionate communicator with strong interpersonal and multidisciplinary project skills.

Desired: Experience working with students in a university environment.
