The Senior Administrative Assistant is a non-exempt, full-time staff position which assists management within the School of Pharmacy. This position is located at the Irvine Rinker Campus.

The Senior Administrative Assistant provides support to the Office of the Dean in the School of Pharmacy.  They assists with coordinating logistical functions of school including meetings, and events. The Senior Administrative Assistant responds to both internal and external inquiries and disseminate information insuring that each request is handled appropriately. This position assists with staff hiring process and onboarding of staff and academic professionals. The incumbent supervises student assistant and coordinates work assignments. The Senior Administrative Assistant processes purchases for the Dean, assist with processing contracts/agreements related to purchases for the office, and processes receipts and invoices for accounts payable. The incumbent completes special projects as needed and performs other duties as assigned.



The requirements listed below are representative of the knowledge, skills, and/or abilities required for the Senior Administrative Assistant position.

Specific Job Requirements: Bachelor’s Degree. A minimum of four years demonstrated professional administrative support experience preferably in higher education. Experience in coordinating logistics for events and maintaining complete and accurate records and filing systems. Excellent telephone etiquette skills. Internet research abilities. Ability to pay meticulous attention to detail. Arithmetic and calculation skills to perform basic financial functions. Technical skills to learn for use including but not limited to PeopleSoft, 25 Live.

General Job Requirements: Proven ability to understand and handle political and practical ramifications of confidential data and respond with tact and diplomacy. Strong communication and interpersonal skills with the ability to interact with diverse individuals and groups at all organizational levels, both inside and outside of the university. Writing and editing skills, with the ability to prepare, proofread and edit clear, concise and grammatically correct business correspondence and other documents. Strong analytical and organizational skills to sort and prioritize deadlines, and work with supervisors to ensure timeliness and accuracy. Strong commitment to customer service and teamwork. Strong computer skills in the use of word processing, spreadsheet, database, internet and electronic mail software, preferably Microsoft Office Suite applications.
