Responsibilities:

Oversee the maintenance and development of computer systems and data integrity in relation to the functions of the registrar’s office. Supervise all aspects of the office including class scheduling and schedule production. Develop and implement registration strategies that effectively meet the needs of the student and institution. Coordinate all aspects of registration with the Business Office, Financial Aid, Admission, Computing Center, Academic Units and Academic Success. Manage the ongoing enrollment verifications, advisement, evaluations, graduation, and transcript processing for all students. Assist Chapman University College staff in processing registrations. Develop and implement vision statement and mission statement for the Registrar’s Office, linking it to the vision and mission statement for Enrollment Service and Chapman University. Focus on quality customer service, team building and public relations with Chapman University community including faculty, staff, students and the Academic Center operation. Review and streamline all office operations for maximum efficiency and effectiveness. Meet on a regular basis with academic units, Chapman University College, and campus administrators for planning purposes. Ensure all staff is trained in FERPA guidelines. Coordinate with academic units, computer center, academic affairs and registrar’s, business office and admissions class schedule to ensure timely production and implementation of the class schedule, advising assignments as necessary for registration. Ensure all training practices are in writing and updated on a regular basis. Evaluate the effectiveness of staff training by contacting students, faculty and academic centers. Ensure that all functions related to evaluations and graduation is completed in a timely and accurate manner. Ensure that reports are run in a timely and accurate manner and that all the data satisfies the requestor’s needs. Manage transcript processing. Enforce Chapman University’s academic policies in accordance with catalog guidelines. Actively participate in University committee’s such as Academic Committee, Graduate Studies Committee, Enrollment Management Committee as a campus resource regarding policy interpretation and implementation. Manage all aspects of the probation, dismissal and honors process for all Chapman University campuses, including reports, information to Student Standards Committee, student follow-up and data entry. Manage all aspects of grading to ensure proper and timely processing in accordance with faculty guidelines. Ability to utilize Word, Excel, Access and other report writing tools. Experience with mainframe software systems.

This position may require some evening and weekend hours, some travel to academic centers.

Qualifications:
Required: Bachelor’s degree or equivalent combination of education and experience. Substantial experience in a registrar’s office managing all aspects of class scheduling, evaluations and graduation, transcript and verification processing. Knowledge of registrar’s professional standards. Prior higher education work experience, Registrar/Student Records/ Admissions highly desirable. Working knowledge of university academic requirements, policy and procedures re: course catalog, course section, schedule development. Knowledge of mainframe computing systems and system implementation strategies. Experience in Datatel software release 16 or higher. Computer skills with demonstrated experience in using word processing, spreadsheet and database software, preferably of Microsoft Office Suite applications. Excellent skills in planning, organization, complex analyses and interpretation. Demonstrated leadership in team building, project management including development and implementation. Ability to work independently and meet critical deadlines. Proven ability to supervise a core of staff and supervisors, including training, evaluation, motivation, task management. Effectively deal with multiple clients in a timely fashion, including faculty, students, staff, and possess strong organizational skills. Ability to maintain an effective environment that has multiple tasks, deadlines, expectations by clients. Experience is successfully managing a budget. Experience is conflict resolution and consensus building. Thorough understanding of federal and university requirements regarding the Family and Education Rights and Privacy Act (FERPA) and management of student record security. Excellent written and oral communication skills. Ability to demonstrate tact and diplomacy and maintain a high level of confidentiality. Strong interpersonal skills to interact with diverse people and levels, both within and outside of the university. Strong commitment to customer service and team work. Thorough knowledge and direct experience, including supervisory experience, related to Registrar/Student Records Office.
