The Conference Manager will serve as a primary point of contact for internal and external clients. Assist in coordinating Facility Rentals and Summer Conferences. Meet and consult with potential clients, respond to their inquiries and provide information about all conference services available at Chapman University. Provide tours of conference facilities and promote Chapman’s facilities. Work with clients to determine event requirements and coordinate setup and technical use of University facilities by both internal and external clients in conjunction with food service and other support services. Facilitate and negotiate a wide variety of on-campus support services and outside vendors to obtain services necessary for the event. Attend functions as necessary to ensure that service levels are maintained and university policies and procedures are followed. Address clients’ concerns regarding event arrangements, and seek appropriate solutions to meet clients’ needs. Perform post-conference follow up to ensure customer satisfaction. Oversee wedding scheduling and arrangements and act as back-up coordinator, as needed. Complete necessary paperwork and documentation for services requested. Maintain accurate file, both paper and electronic, for each event/client. Maintain client contact and communication throughout the event process. Works closely with the Assistant Director of Conferences and Scheduling to provide accurate and detailed information for contracts and billing. Assists in monitoring the timely receipt of contracts, certificates of insurance, event information, and fees. Assists Director in developing updated policies and procedures for conference services. Assist Director in researching industry trends, practices and statistics, and provide recommendations for improving services. Assist in providing data for management reports. Perform other duties and special projects, as assigned.
This position requires flexible hours including evenings, weekends and holidays.
