Responsibilities:

Successful completion of criminal background credit check required for final candidate.

Supervise document imaging system and processes, including supervising and training staff and student workers on the imaging system. Manage and maintain the In-House Diploma Processing including the data entry of graduation intent forms, diploma printing and supervising staff and student workers on diploma mailing. Respond to e-mail inquiries on conferral@chapman.edu. Coordinate support to commencement activities between the Registrar's and Chancellor's offices. Assist in hiring, training, and supervising student workers, coordinating supervision of student worker activities and their work schedules with Lead Client Services Specialist. Supervise student worker projects in archiving, document imaging, and diploma mailing. Manage and supervise Image Now Fax services. Supervise and maintain archiving and shredding services. Manage general office processes and coordinate maintenance of office machines - computers, faxes, copiers, and printers. Maintain forms and supplies inventory, and purchasing of office equipment. Maintain self service computer kiosks. Assist with data entry support for the office; Chair the Celebration Committee including recruitment of volunteer committee members to provide leadership to team- building activities. Provide other services as required.

Qualifications:
Required: Excellent customer/client services experience and capabilities. Ability to work in multi-task pressure work environment. Computer skills to use word processing, spreadsheet, presentation, internet and electronic mail software, preferably of Microsoft Office Suite applications. Ability to carry out duties in a timely manner. Ability to prioritize duties when faced with interruptions, distractions and a fluctuating workload. Strong commitment to the concepts of customer service and teamwork. Demonstrated effective written and oral communication skills. Excellent interpersonal skills with the ability to interact with a diverse group of individuals both inside and outside the university. Ability to use tact and diplomacy and to maintain a high level of confidentiality. Writing skills to prepare clear, concise and grammatically correct correspondence.

Desired: Experience with educational administrative software. Attended or worked in a higher education environment. Aware of student needs as they relate to higher education administrative processes.
