Responsibilities:

Successful completion of criminal background check required for final candidate. In addition, a DMV record check is required before and during employment. Continued employment in this position requires ongoing satisfactory DMV records reviews.

Under supervision, provide a wide variety of administrative support to the Human Resources Department. Responsible for coordinating the Ride Share Program. Support Student Employment by providing initial intake counseling of potential student workers and by processing student forms. May provide general assistance to employees with benefits questions and provide benefit forms. May assist in updating HRIS with emergency contact information and address changes. Schedule and provide logistical support for HR training and events. General HR business support including ordering supplies and filing. Provide reception to HR department including log-in and distribution of mail, ensuring daily deliveries to campus departments, and response to questions both from walk-in visitors and phone calls. Other duties as assigned.

May be required to work overtime as business needs dictate. May be required to pick-up and deliver business correspondence to a variety of campus locations.

Qualifications:
Required: Written communication skills to prepare clear, concise and grammatically correct correspondence, and other documents. Excellent interpersonal skills to deal with a diverse group of individuals comprised of the general public and Chapman employees. Strong editing and proofreading skills. Ability to use tact and diplomacy and to maintain a high level of confidentiality. Ability to perform successfully and with composure in a demanding environment with numerous challenges. Skill to prioritize heavy workload under pressure of competing assignments and deadlines. Ability to quickly familiarize self with and accurately perform a variety of different processes and procedures. Proven experience in performing and documenting office tasks. Strong computer skills in using word processing, spreadsheet, database, presentation and electronic mail and calendaring applications, preferably of Microsoft Office Suite software. Strong technical skills to learn and use HRIS and higher education administrative systems. Proven ability to gather and assemble data and present in a logical format. Excellent oral communication skills. Demonstrated ability to take accurate telephone messages and to respond as directed. Strong organizational skills. Skill to perform standard mathematical calculations. Strong commitment to team work and customer service. Skilled in the use of standard office equipment such as copier, fax machine, voicemail. Ability to calendar events and to order equipment and refreshments. Experience in providing support to professional staff. Highly skilled and accurate in data entry. Meticulous attention to detail. Ability to initiate and follow through with work projects not initially assigned but necessary to department objectives.

Desired: Experience working with electronic scan filing systems to archive and organize existing HR and benefits paperwork. Demonstrated experience working with human resources systems, processes and/or programs. Skilled in the use of the internet to conduct research. Knowledge of the Chapman University Human Resources programs and services. Knowledge of Chapman University policies and procedures.
